Privacy Policy

ServiceBit ("we," "us," or "our") operates the ServiceBit platform, a field service management SaaS product available at servicebit.app. This Privacy Policy explains how we collect, use, and protect information when you use our services.

1. Information We Collect

We collect the following categories of information when you create an account or use ServiceBit:

  • Account information: Name, email address, phone number, and password credentials.
  • Business information: Business name, address, phone number, and website.
  • Customer data: Names, email addresses, phone numbers, and service addresses of your customers, which you upload or enter into ServiceBit.
  • Job and estimate data: Job types, scheduled times, addresses, technician assignments, notes, estimate line items, pricing, and status information.
  • Voice notes: Audio recordings captured through the voice note feature, which are processed for transcription and then discarded — only the transcribed text is stored.
  • Usage data: Log data, browser type, pages visited, and other standard analytics information.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the ServiceBit platform.
  • Send SMS messages to your customers via Twilio on your behalf (estimate delivery, confirmations, job updates).
  • Sync invoice and payment data with QuickBooks Online when you enable that integration.
  • Generate AI-powered estimates and transcriptions using third-party AI providers.
  • Communicate with you about your account, billing, and product updates.
  • Comply with legal obligations and enforce our Terms of Service.

3. Third-Party Services

ServiceBit integrates with the following third-party services. Each has its own privacy policy governing how they handle data:

  • Supabase — Database hosting and authentication. Customer data is stored in Supabase-managed PostgreSQL databases.
  • Twilio — SMS messaging. Your customers' phone numbers and message content are transmitted to Twilio to deliver SMS messages on your behalf.
  • Intuit QuickBooks — Accounting integration. When connected, job and invoice data is synced to your QuickBooks Online account.
  • OpenAI — AI-powered features including voice transcription (Whisper API). Audio data is transmitted to OpenAI for processing and is subject to OpenAI's data usage policies.
  • Anthropic (Claude) — AI-powered estimate generation. Job details are transmitted to Anthropic's API to generate pricing estimates.

4. SMS Messaging

ServiceBit sends SMS messages on behalf of your business to your customers. By using the SMS features of ServiceBit, you confirm that you have obtained appropriate consent from your customers to receive these messages.
  • Message frequency varies based on job activity.
  • Message and data rates may apply.
  • Recipients can opt out at any time by replying STOP to any message. They may reply HELP for assistance.
  • ServiceBit does not use customer phone numbers for marketing purposes unrelated to your service jobs.

5. Data Retention

We retain your account data for as long as your ServiceBit subscription is active. If you cancel your account, we will retain your data for 90 days before permanent deletion, unless you request earlier deletion. Voice audio recordings are not retained — only transcribed text is stored.

6. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your account and associated data.
  • Export your data in a portable format.

7. Data Security

We use industry-standard security practices including encrypted data in transit (TLS), row-level security in our database, and authentication via Supabase Auth. However, no system is completely secure, and we cannot guarantee absolute security.

8. Children's Privacy

ServiceBit is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or via an in-app notice. Continued use of ServiceBit after changes take effect constitutes acceptance of the updated policy.
